Executive Assistant - Job Ad NOC 12100 (1 Vacancy)

Terms of Employment: Permanent, Full-Time

Salary: $36.60 Hourly, for 35 Hours per week Anticipated Start Date: As soon as possible

Location: 450 SW Marine Dr Marine Gateway, Floor 18 Vancouver BC V5X 0C3 Canada

 Education:Bachelor’s degree in Business Administration, Management, or a related field

Experience:

  • Minimum 2–3 years of experience supporting senior executives in a corporate or project-based environment
  • Demonstrated experience in real estate, construction, or project-driven industries is a strong asset 
  • Proven ability to manage multiple priorities, tight deadlines, and high-pressure situations
  • Strong proficiency in business writing, reporting, and document preparation
  • Excellent organizational, communication, and stakeholder coordination skills

Duties:

    • Provide strategic administrative support to senior executives, including prioritization of competing business demands and decision-support coordination
    • Manage complex executive calendars involving multi-stakeholder scheduling, shifting project timelines, and confidential corporate matters
    • Coordinate high-level business communications, including drafting executive correspondence, investor materials, contractual documents, and internal reports
    • Act as a key liaison between executive leadership, project managers, consultants, and external partners in the real estate and construction sector
    • Support project tracking and reporting, including monitoring timelines, deliverables, and budget-related documentation across multiple development initiatives
    • Prepare briefing notes, research summaries, and analytical reports to support executive decision-making
    • Coordinate board meetings, investor updates, and corporate events, ensuring accurate documentation and follow-ups
    • Maintain and manage sensitive corporate records, including legal, financial, and operational documents
    • Assist in process optimization and implementation of administrative systems to improve operational efficiency
    • Handle confidential and commercially sensitive information with a high degree of discretion
